Information collected automatically

Our web host records standard server log information — IP address, browser type, pages requested, and timestamps — for security and reliability. This website does not use advertising cookies, analytics trackers, or third-party marketing pixels.

Payment information

Payments are processed by Stripe, Inc. When you pay an invoice, your card or bank details are submitted directly to Stripe and are handled under Stripe's Privacy Policy. H.E.R.O. never receives or stores your full card number or bank account number. We receive only the transaction result and limited identifying details such as the last four digits, card brand, and billing name.

Protected health information

This website is not intended for the submission of protected health information ("PHI"), and you should never send PHI to us by email or through this site. Where an engagement requires us to handle PHI on a client's behalf, we do so only under a signed Business Associate Agreement and in accordance with HIPAA, using the secure channels designated in that agreement. PHI handled in that capacity is governed by the Business Associate Agreement and the client's own notice of privacy practices, not by this policy.

2. How we use information

• To respond to inquiries and prepare proposals;
• To perform, manage, and support the services under a client agreement;
• To issue invoices, process payments, and prevent fraud;
• To maintain business records and meet legal, tax, and regulatory obligations;
• To secure and maintain our systems.

We do not use client information to train advertising models, and we do not use it for purposes unrelated to the engagement without asking you first.

3. We do not sell your information

H.E.R.O. does not sell, rent, or trade personal information. We do not share it with third parties for their own marketing purposes.

4. When we share information

We share information only in these situations:

• Service providers who help us operate — payment processing (Stripe), email and document hosting, accounting and payroll platforms, and web hosting — each bound to protect the information and use it only to provide their service to us;
• Vendors you direct us to engage on your behalf as part of the services;
• Professional advisors such as our accountants and attorneys, under a duty of confidentiality;
• Legal requirements — where required by law, subpoena, or to protect our rights, safety, or property;
• Business transfer — in connection with a merger, acquisition, or sale of assets, subject to this policy.

5. How we protect information

• All traffic to this website is encrypted in transit using TLS (HTTPS).
• Access to client information is limited to personnel who need it to perform the services.
• Systems holding client information require authentication, and credentials are managed through a password manager.
• Payment credentials are never stored on our systems.

No method of transmission or storage is completely secure, but we take reasonable and appropriate measures to protect the information we hold.

6. How long we keep information

We retain client and billing records for as long as the engagement is active and afterward as required for tax, accounting, and legal purposes — generally seven years for financial records. Records containing PHI are retained and destroyed according to the applicable Business Associate Agreement. Inquiry emails that do not become engagements are retained for up to two years.

7. Your choices and rights

You may, at any time:

• Request a copy of the personal information we hold about you;
• Ask us to correct information that is inaccurate;
• Ask us to delete information, subject to records we are required to keep;
• Opt out of any non-essential email from us.

Email billing@consultyourhero.com and we will respond within 30 days. Residents of states with applicable privacy laws, including Florida and California, may exercise the rights those laws provide by contacting us the same way; we do not discriminate against anyone for exercising a privacy right.

8. Cookies

This website does not set advertising or analytics cookies. Any cookies present are strictly necessary for the site to load and function.

9. Children

Our services are provided to businesses. This website is not directed to children under 13, and we do not knowingly collect personal information from them.
